More assistance with accounting years

February 07, 2012

The e-conomic system has been updated with a new Market Package

Market Package 54 features improved validation when creating and closing accounting years in order to help you avoid incorrect opening entries. We've also added a new 'Match all' button, plus much more.

Better validation of accounting years

Accounting year closing season is here – and with that, we’ve seen a number of support cases rooted in excessive flexibility regarding accounting year continuity – typically when accounting years haven’t been closed in proper, chronological order, resulting in opening entries being incorrect.

In order to prevent this from happening in the future, two new validations are now performed on accounting years:
  • You can no longer create an accounting year if a later, closed accounting year exists. This is because, once the new accounting year’s entries have been booked and the year is closed, subsequent accounting years’ opening entries will then be incorrect. Therefore, you are now instructed to re-open any later accounting years before creating the new one.
  • You can no longer close an accounting year if an earlier, unclosed year exists. Again, this is to avoid incorrect opening entries in later years when closing earlier accounting years. In this situation, you are instructed to close accounting years in chronological order.

    Quicker matching

Automatic matching now has a ‘Match all’ button allowing you to speed up the matching process in case you have a large number of customers or suppliers for matching.

Previously, you had to go through numerous ‘Select all -> Match selected -> Select all -> Match selected’ flows, since the 'Select all' command will only select the items that are displayed, with a max. limit of 1,000 items displayed at a time. Now, you can simply use a single 'Match all' click to the same effect.

    Customer groups in lists

The lists of quotations, orders and invoices now also show the customer group as a column. Requested by quite a few of our users, this is of course particularly useful for handling quotations, orders and invoices on a per-customer group basis.

More PDF links to supplier invoices

For users with the Stock Management add-on module activated, supplier ledger cards and ‘Open entries’ now also show PDF links to the underlying supplier invoices. This is similar to the change introduced for product ledger cards in Market Package 53.

    Also in Stock Management,
booking of supplier invoices is now logged. This obviously provides better traceability and complements the existing logging of booked customer invoices.

    Improvements to the API

For reporting apps, we have now exposed a dedicated method – GetEntryTotalsByDate() - for retrieving entry totals for a specified date interval and set of accounts. This makes it possible for reporting apps to run much faster – as they no longer have to download potentially thousands of entries for summing up manually.

When creating customers, it is now possible to leave out the customer number, resulting in the number being automatically set to the next available one – similar to the web application behavior.

Finally, a small ‘annoyance fix’, also when creating customers: New customers now automatically get the 'Access' field ticked, meaning that they are open, as opposed to barred, by default.

    Bug fixes

It was by mistake possible to delete a customer contact set up as default ‘Attention’ or ‘Your ref’ on the customer. To delete this contact, first remove the contact from these fields on the customer.

    In the
Project Management add-on module, it is no longer possible to close projects or book expenses on dates in missing or closed accounting years.
