AutoMester implements online accounting and CRM systems

AutoMester is currently implementing the e-conomic online accounting system to optimize operations and save time and money on administration.

With 395 repair shops throughout the country, AutoMester is Denmark's largest chain of repair shops. According to Per Rosenby, consultant with AutoMester, the large number of repair shops allows the company to save a lot of time and money by switching to online accounting and CRM systems.

- We connected the first repair shops on 1 January 2007, and today approx. 50 repair shops have implemented online accounting and CRM systems. Our overall ambition is for at least 200 repair shops to be using online ERP and accounting systems within a few years, says Per Rosenby.

Optimizing repair shop operations

- The advantage of using e-conomic and the new CRM system is that we can now access the customer's car directly in the CRM system, order products from the wholesaler, add the products directly to the digital worksheet, add working hours and materials and with a single click transfer the worksheet to the invoice, which is automatically booked and printed at the same time, explains Per Rosenby.

Previously you had to access the catalog and order the products separately. Afterwards, you took the invoice from FTZ and stapled it to the hand-written worksheet, which the mechanic had filled out with hour consumption etc. Then the manager made an invoice using a basic invoicing program and subsequently a bookkeeper or an accountant would book the same invoice in a larger accounting system - e.g. C5. Now, everybody works in the same systems.

- So the major advantage is that the repair shops now save an entire cycle of operations, and they can make sure that all products are included in the order - because when you order products in the new system, they are automatically transferred to the worksheet. The entire invoice is actually added to the worksheet which optimizes the repair shop operations significantly, says Per Rosenby.

Detailed records of all cars are saved in the system, so the repair shops always have all information available when dealing with customers.

Saves time on bookkeeping

The accounting and CRM systems are online, allowing you to work at all hours of the day in the same systems as your bookkeeper or accountant - as long as you have access to a PC with an Internet connection. At the same time, many of the repair shops have decided that they may as well send out invoices and do the bookkeeping themselves.

- The accounting system has also been very well received among our repair shops because it has made bookkeeping and sending out invoices so easy. Many of the repair shops have been used to extracting data and sending it to their accountant who then did the bookkeeping for them. But now many of them have realized that it's not that difficult and now do it themselves instead of spending resources on a bookkeeper, says Per Rosenby.

With the new software, the repair shops don't have to worry about backing up data and they get real-time updates. The head office in Middelfart has also implemented the new solution, enabling them to support the repair shops at all times.
